From Paperwork to Proof: How 0800 Repair Eliminated Compliance Failures

All disciplines · 4-year partnership · Gas as the primary discipline

0800 Repair uses TCW across every discipline, from service and repair to social housing installations. Moving from paper to verified electronic records has removed documentation failures, reduced administration and strengthened the evidence used to win new work.

Seconds

To verify engineers' paperwork

Replacing a full-time manual filing workload

The problem

Gas engineers were still completing much of their paperwork by hand. Errors were difficult to spot, collecting and filing documents occupied a full-time role, and different client requirements were difficult to manage consistently at scale.

What TCW did

TCW moved the operation to electronic working, verifies engineers' paperwork in seconds and pre-populates forms from handheld devices. Bespoke checks enforce client-specific requirements, while automated reporting gives clients and stakeholders clear evidence of performance.

“If we were to stop using TCW and went back to what we were doing before, it wouldn't work. If you are working at any kind of scale or volume, TCW is the right way to go about it.”

South Liverpool Homes logo

Putting South Liverpool Homes in the Driving Seat of Its Asset Data

3,700 homes · 100% of compliance documents checked · £62k annual saving

South Liverpool Homes is a community benefit society regulated by the Regulator of Social Housing, with over 3,700 homes across South Liverpool. TCW forensically analyses 100% of their compliance data — not a sample — turning certificates into verified asset intelligence.

100%

Annual saving on current contracts

Third-party gas/electric certificate validation replaced

3,700

Residential properties covered

Whole-portfolio asset intelligence

2 months

From onboarding to operational insight

Straightforward set-up, no operational redesign

The problem

Certificate validation was outsourced and sample-based. Lifecycle planning relied on set cycle assumptions rather than the real condition and performance of each asset, and there was no reliable way to see engineer, equipment or appliance performance behind the paperwork.

What TCW did

TCW checks every incoming gas and electrical certificate against embedded legislation, ACOPs, British Standards and engineering calculations, reconciles each one to a verified asset record, and feeds validated attributes back into live asset data with a permanent audit trail.

“If you don't have the intelligence behind your data you can't accurately know your assets or your lifecycles. The software enables us to have control and transparency, knowing we are doing everything we can to reduce risks for our customers and setting new standards in the social housing sector — it puts us firmly in the driving seat!”

David Chatterton, Head of IT, South Liverpool Homes

Creating a Single Source of Truth for Gas Compliance at Fife Council

30,000 properties · 100% of documents checked · 1.5 supervisor days per week saved

Fife Council is the third largest local authority in Scotland, managing approximately 30,000 properties. TCW removed manual certificate checking, gave the council one verified gas compliance position, and strengthened its Duty of Care under the Defective Premises Act 1972.

Duty of Care

Defective Premises Act 1972

Improved ability to evidence compliance

The problem

Fife Council is striving for 100% compliance for gas servicing, driven from both the Head of Housing Services as landlord and the Head of Building Services as contractor. Existing systems had too much scope for introducing errors through manual input, and handwritten certificates from external contractors and from the in-house workforce had to be loaded whenever the mobile working system was offline.

What TCW did

Compliance is now managed from a single system. Certificate checking rules were configured quickly to Fife's own requirements, handwritten certificates were accommodated before go-live, and every certificate is checked automatically the moment it is received with issues highlighted immediately.

“Our current systems had too much scope for introducing errors due to the need for manual input. We needed a single source of truth for gas compliance, which we now have.”

Checking 3,000 LGSRs a Week Across 100,000 Contracted Properties

100,000+ properties · 40 clients · approx. 35 hours saved per week, per team

TSG Building Services is a multi-disciplined building services and construction company with a turnover in excess of £30 million, responsible for over 100,000 properties across 40 clients. The integrated TCW and Servicesoft solution validates 100% of certificates in real time.

3,000

100K+

Integrated solution with Servicesoft

The problem

TSG relies on technology to stay ahead on legislation and contract management. Servicesoft delivered efficiency and contractual compliance, but certificate verification remained outside full control. Engineers were recording incorrect responses, and with over 3,000 LGSRs a week it was impossible for a team to manually check all of them — and it only takes one to become a risk or result in a dangerous situation.

What TCW did

The integration between TCW and Servicesoft checks 100% of documents in real time. Issues are flagged within the system rather than missed, HSE rules are emphasised, and engineer performance and training needs are surfaced individual by individual and area by area.

“The integration of the two software platforms has allowed us to become rigid and coordinated with our approach. Improving our own ways of working, giving us a commercial validity and efficiency gain.”

Wayne Gill, Operations Manager — Mechanical, TSG Building Services

Giving c2c Rail a Real-World Picture of Risk Across Its Estate

25 managed stations · 28 stations served · Essex Thameside franchise

c2c is an English train operating company owned by Trenitalia, running the Essex Thameside franchise from London Fenchurch Street to East London and Essex. c2c manages 25 stations and turned to TCW to manage the flow of electrical test certification and compliance data coming in from its supply chain — and gained a real-world picture of risk for the first time.

Exec level

High-level reporting

Obsolescence

Planning from extracted data

Ageing technology flagged before it fails

The problem

As both a train operator and an infrastructure manager, c2c's asset team was managing electrical, mechanical and fire systems across a large railway, with high volumes of test certification arriving from the supply chain. Manually reading paperwork was not a realistic use of an asset manager's time, and without validation there was no reliable way to see the true compliance position — or the risk sitting behind it.

What TCW did

c2c engaged TCW to manage the workflow of data coming in from its supply chain. Every certificate is checked the moment it arrives, turning compliance paperwork into assurance: a real-world picture of compliance across the supply chain, high-level reporting for the executive team, and extracted asset intelligence — including obsolescence planning that flags technology reaching end of life.

“The use of TCW has blown open the doors for a small train operator come infrastructure manager. We now have a grasp on key asset data. Our exec team have high level reporting and the technology seems to constantly evolve and exceed expectations. It's a pleasure to partner with a forward thinking system that does so much more than read a document. It inspires trust and confidence in an area where risk is high and trust can be low.”

Paul Meenan, Asset Manager, c2c (Trenitalia c2c Ltd)

The problem

As a proactive organisation, Haig Housing wanted to move forward with a more intelligent way of managing compliance and the documents the charity holds. Compliance data and documentation were not working as a single, reliable source, and the team wanted to understand what was possible with new technology before committing.

What TCW did

After first encountering TCW at Homes 2022, Haig Housing evaluated the technology against the alternatives and chose it as a unique solution with a good cost-benefit analysis. TCW now validates compliance documents on receipt, delivers instant data insights, and integrates with the charity's housing management system — turning documents into a single point of truth.

“As a proactive organisation, Haig Housing wanted to move forward with a more intelligent way of managing our compliance and the documents we hold. After coming across the TCW stand and speaking with the team their technology stood out to me as a unique solution with good cost-benefit analysis. The multitude of benefits, including instant data insights and integration with our housing management system, that TCW could bring to our organisation made sense with how our charity is moving forward and our vision of an efficient and data-driven way of working with a single point of truth.”
